Privacy notice

What personal information we collect, why we need it and how we look after it.

Who we are

Projex Quantity Surveying Ltd is responsible for the personal information described in this notice. We are registered in England and Wales, company number 14248422, and our registered office is Longfield Grange, York Road, York YO26 8HZ.

You can contact us about anything in this notice at info@projexqs.co.uk or on 07368 454817.

What we collect

  • Details you give us when you make an enquiry: your name, company, email address, phone number, the project location and anything you tell us about the project.
  • Files and links you send us, such as drawings, specifications, quotations, contracts and photographs. These can include other people's details, for example names on drawings or in correspondence.
  • Your email address, if you register for news about our tools and guides.
  • The information we need to provide our services if you instruct us, such as contract documents, correspondence and invoicing details.
  • Basic technical information our website host records to keep the site secure and working, such as IP addresses in server logs.

Why we use it

  • To reply to your enquiry and prepare a proposal. This is a step you have asked us to take before entering into a contract, and it is in our legitimate interests.
  • To provide our services if you instruct us. This is necessary to perform our contract with you.
  • To send you news about our tools and guides, if you have asked for it. This is based on your consent, and every email includes a way to unsubscribe.
  • To keep business, tax and accounting records. This is a legal obligation.
  • To protect our legal position, for example if there is a dispute about our work. This is in our legitimate interests.

Who we share it with

We never sell your information. We share it only with the companies that provide our website, email and file storage, who act on our instructions, and where necessary with our professional advisers, insurers or a regulator.

If you instruct us, we may share project information with other parties to the project where that is part of the service, for example a contractor or the design team.

Where it is stored

Our website, email and file storage are provided by established cloud services. Some of them store or process information outside the UK, including in the United States. Where that happens, the transfer is protected under UK data protection law, for example through the UK Extension to the EU-US Data Privacy Framework or contract terms approved by the Information Commissioner.

How long we keep it

  • Enquiries that do not lead to work: up to 12 months, after which the details and any files you sent are deleted.
  • Project records: for as long as we are working on the project, then for up to 12 years after it ends, because claims on construction contracts signed as deeds can be brought for that long.
  • News about our tools and guides: until you unsubscribe.

Your rights

You can ask us for a copy of the information we hold about you, and ask us to correct it, delete it, restrict how we use it or stop using it. Where we rely on your consent, you can withdraw it at any time. Some rights depend on the circumstances, and we will explain if one does not apply.

To make a request, email info@projexqs.co.uk. We will reply within one month.

Complaints

If you are unhappy with how we have handled your information, please tell us first so we can put it right. You can also complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.

Cookies

Our website does not use advertising or tracking cookies. If we add any in future, we will ask for your consent first and update this notice.
